Information sheet and Consent

What is this project about?

Softwire Technologies Limited are conducting research on behalf of the Department for Levelling Up, Housing and Communities (DLUHC), a department belonging to the UK government. We wish to understand your feedback on your experience or lack of experience of registering to vote. We will not be asking about anything related to your political views.
 

What’s involved?

The research will take place via a 1-2-1 conversation using Microsoft Teams. The session will last up to 60 minutes. You can join the research session using a mobile device or a laptop/desktop computer with a microphone and camera.

Notes will be anonymised and your name will not be attached to these findings. You will be able to ask questions at any time. There are no ‘right’ answers; and if we ask you anything you’d rather not answer, that is absolutely fine.

 

Who will be present in the research session?

A researcher will guide you through the session and they will be joined by some colleagues who will be taking notes. If there is time at the end, the researcher will ask if either observer has any further questions for you.

 

Taking part is voluntary

Although you will get a £40 Paypal payment for your time once the research session has been completed, your participation in this research is voluntary and you can change your mind and withdraw at any time.

 

What data do we need?

The session will be recorded (video, audio, written notes) as this helps us to accurately capture what you’ve told us about your experience. This will be shared with our project team including colleagues from Department for Levelling Up, Housing and Communities (DLUHC).

How will we use your data?

All data and documentation will be processed in alignment with GDPR. Your participation will be kept confidential and results will be reported anonymously, this means you will not be personally identified in any way.

Data protection legislation provides you with rights in respect of your personal information. These are:

●  the right to withdraw consent

●  the right to be informed

●  the right of access

●  the right to rectification

●  the right to erasure

●  the right to restrict processing

●  the right to data portability

 

How long will we keep your data?

The personal information gathered during the research will be kept for up to 1 year from the interview (unless consent to continue using this information is withdrawn). The output of the research will be kept for longer but will not contain any information which can be attributed back to you.

What confidentiality do we require?

During the research session, you may be told about aspects of the service we are working on, and/or shown images, text or other materials relating to this project. This information belongs to the Department for Levelling Up, Housing and Communities and is shared with you personally for the purpose of conducting this research. Therefore, you agree to:

●  Refraining from recording any part of the research session, whether as audio, still images, screen shots, video or otherwise

●  Refraining from disclosing the contents of your research session to any third party.

 

Complaints about the processing of your personal information

When we process your personal information, we will comply with the Data Protection Act. Preparing for your session

●  Make sure you're in a quiet place where you're not interrupted

●  If you're using a battery-powered device, please make sure you have enough charge

●  You'll need to be in a place with a good, stable internet connection

●  Please log into your meeting a few minutes ahead of time so we can address any technical issues if necessary
